Enhanced purchasing cycle: receive 20 and pay 20
Reconcile receiving, approval, payables and payment together. The following figures are a teaching example.
Steps
- Create a receipt of ten bottles at 2 each. If buying on account, do not enter a payment at receiving.
- Approve and verify stock increases by ten and the supplier has the corresponding 20 outstanding.
- After actual payment, create a supplier payment allocated to that receipt: payment 20, rounding zero and the actual paying account.
- Approve, then check zero outstanding on the receipt and a funds decrease of 20.
- If the receipt was already settled for 20, do not record the same payment again. Inspect its settlement first.
Check the result
Quantity ten, purchase value 20 and funds 20 are traceable without duplicate payment records.
Notes and troubleshooting
Receipt screenshots are verified. The payment extension is an illustrative example, not an actual bank transaction.
